Review stock positions

The Stocks report (Stock position) reconciles, for each inventory-tracked item, the calculated position (sales, restocking, and recorded movements) with counted quantities from inventory counts. When there is a variance, it is shown per line.

Prerequisites: items with Inventory β†’ Active (see Configure cash register items) and at least one inventory or stock movement on the period.

Procedure

  1. In the sidebar, open Cash register, then Stocks.
  2. The report defaults from the last recorded inventory through today. Check start and end dates at the top and adjust if needed.
  3. Review the table:
    • Calculated position: theoretical quantity from transactions;
    • Inventory / count: quantity entered during an inventory;
    • Variance: difference between count and calculation (green icon if zero, orange or red otherwise).
  4. Use the toolbar above the table:
    • ← Previous inventory: moves the start date to the prior inventory;
    • Period movements: opens the list of stock correction / variation entries (account 603) for the period;
    • View by item / View by item group: changes report grouping.
  5. To correct a variance on a count line, click the wrench button next to the variance β€” see Correct a count variance (Write permission required).

Understanding variances

  • The first inventory in the displayed period is treated as exact: no variance is calculated on that count.
  • Later variances compare counted quantity to calculated stock since the last reference point.
  • A variance may come from a missing sale or restock, an entry on a different date, or a counting error.

Common issues

  • Item missing: enable Inventory β†’ Active on the item.
  • Empty position: check that inventories or sales / restocks exist on the period.
  • Variance persists after correction: refresh the report; confirm the correction entry is confirmed.
  • No wrench button: you need Write permission and a non-zero variance on an inventory count line.
