Configure cash register items

The item catalog defines what appears in the Cash register module: labels, prices, VAT, display category, sale behaviour (forms, combo, stock, recurring billing, automatic actions). Careful setup reduces register and invoicing errors, especially with NF525 where VAT rate must stay consistent.

Open the list

  1. From the register: in the item grid, use the Manage link.
  2. From preferences: section Categories, Bookings, Notifications β†’ Cash register item list (same screen as Manage).

Use the Filter… field at the top to find an item by name.

Main fields (row)

For each item, fill in on the row:

PriceAmount applied on sale (excl. or incl. VAT depending on account settings).
VATVAT rate (20%, 10%, 5.5%, exempt, etc.).
NatureAccounting classification / entry type.
Cost excl. taxStandard cost for margin tracking (optional).
ActiveWhen checked, item is available for sale in the register.

Save the list regularly and check display in the Cash register module.

Note β€” group accounts: on a consumer account, Remove for all / Add for all propagates item visibility to other accounts in the group. Items locked at group level cannot be edited locally.

Advanced options (chevron)

Click the chevron on the left of the row to expand the blocks below. On small screens, main fields stack; ? tooltips describe each option.

Title and forms

  • Standardized title: label used in accounting exports and reports, distinct from the register display name. If empty, the register label is used.
  • Forms to fill in: additional form and/or booking form fields to show to the cashier or customer on sale. The eye icon previews the form.

Combo, menu or kit

Groups several items sold together. On sale, each included item is added to the ticket.

  1. Click Combo items to open the editor.
  2. For each line: item (existing article), quantity, optional price / supplement, group (lines sharing a group = choice at checkout, menu-style).
  3. Price per item (Enable checkbox):
    • disabled (default): the combo price applies; optional supplements can be set per line;
    • enabled: the combo price is not charged; each item is priced individually (catalog price or price on the line).

Inventory

Enable Active to include the item in stock tracking. Optionally set a stock name (if different from the register label) and minimum stock (alert threshold).

Recurrence

For a sale or subscription repeated after the first sale is confirmed:

  • Frequency: once, monthly or quarterly;
  • Number of recurrences: empty = none, -1 = unlimited;
  • Subscription options: delay, discount, discount duration, commitment (click to edit).

A customer account must be selected at the register when recurrence or certain triggers require it. For subscription with SEPA direct debit: Set up recurring payment for a register subscription.

Triggers

Automatic actions run when the sale is confirmed:

  • Associated action: debit or add a subscription, customer badge, book/register, link to a customer, etc. Option fields change with the selected action.
  • … then: second action (e.g. Set up a payment β€” opens automatically after ticket confirmation when selling a subscription with recurring payment).

Common issues

  • Item not visible: check Active, the right account / register, and your permissions.
  • Wrong total incl. VAT: review VAT and price (excl. or incl. VAT depending on account display mode).
  • Combo: wrong total: check Price per item and per-line supplements in the combo editor.
  • Form not shown: review Forms to fill in in advanced options.
  • Missing from inventories: enable Inventory β†’ Active and a stock name if needed.
