Set up your Activiteez account
On your first sign-ins, some settings should be filled in first so you can create and sell activities, then invoice and collect payments properly. All of them can be changed later, but the sooner they are correct, the less risk you run of having to fix documents already issued.
Where to configure these settings
- Sign in at Activiteez with your user account.
- Open your organization’s Activiteez account (the one that holds your activities and sales).
- Go to Settings → Preferences.
The tabs described below are on that screen. Depending on your plan, some blocks may be hidden until your subscription is active.
General tab
Business settings
Fill in your organization’s public identity first:
- account name: label shown on your Activiteez page and in communications with customers;
- description: presentation text on your public page;
- location (geolocation): useful for discovery and showing your activities on a map.
These fields mainly drive communication and discovery of your services. They do not directly affect tax compliance, but they shape your professional first impression.
Company information (legal details)
Next, complete the company information block: legal or trading name, SIRET (French business establishment ID), phone, email, postal address, website, and a link to your terms and conditions of sale.
This is not just contact information: Activiteez reuses it on your official documents — invoices, quotes, receipts, certified point-of-sale tickets, accounting exports, and more. It must match your actual legal identity (as registered with the authorities and your bank).
| Information | Why it matters |
|---|---|
| Legal / trading name | Identifies the issuer on the document; required on an invoice. |
| SIRET | Confirms the business identity; required for B2B invoicing and e-invoicing obligations in France. |
| Address | Mandatory mention on invoices and receipts; basis for locating the establishment. |
| Phone, email | Customer contact and payment reminders; often printed on sent documents. |
| Website, terms & conditions | Commercial transparency; a link to your terms is shown on tickets and booking emails. If the terms field is left empty, the Activiteez terms and conditions apply by default — add your own URL to govern your services and liability. |
A mistake (old address, SIRET for another establishment, incomplete legal name) carries through to every document already generated until you correct it. In an audit or dispute, records that do not match your Kbis (company registration extract) or tax filings make it harder to justify your revenue.
Tip: have your Kbis or another official document ready before filling in this tab, then check that a test invoice or ticket shows the correct details.
Categories & finances tab
Once legal identity is set, open the Categories & finances tab.
Activity categories
Create categories to classify your activities (e.g. “Canyoning”, “Kids camps”, “Equipment rental”). They are used to:
- structure your catalogue and customer-side filters;
- break down sales in reports and accounting exports;
- apply different VAT or accounting rules by type of service, where relevant.
You can add or change them later; at startup, defining a few that match your real offer is enough.
VAT regime
Set the VAT regime that applies to your organization (standard rate, reduced rate, small-business exemption, reverse charge where applicable, etc.). This drives VAT calculation on your invoices, quotes, and sale lines.
Wrong initial settings produce incorrect ex-VAT / inc-VAT amounts on documents and complicate filings for your accountant. If unsure, confirm this setting with your accountant before issuing your first customer invoices.
What’s next?
When these tabs are complete, move on to creating your first activities, enabling online payment, and, if needed, the point of sale and invoicing — each help section covers those steps in detail.
